Substitute Teacher Orientation

This New Employee Orientation (NEO) page will guide you through the steps necessary to begin your new position.
Please thoroughly review the information below and complete all steps. Some requirements will be completed online, while others require in-person attention. If you have questions throughout this process, feel free to contact Substitute Services.

Sub Badge Photo Requirements
Please send us a photo to use for your badge, SubOffice@washoeschools.net
Please use the following criteria:
A good likeness of your current appearance, taken within the last six months.
- Your photo must be a clear image of ONLY you (not blurry, grainy, or fuzzy) against a plain background.
- The photo must be a full face-and-shoulders shot, squarely facing the camera.
- You must use a portrait (not landscape) photo that is correctly oriented.
- You must be facing the camera.
- You cannot wear a hat or dark glasses.
- Must be a JPEG file format.

Step 1: Training Videos
Please watch each required training video below in its entirety in preparation for your employment with WCSD.

Step 2: Required Reading
The following items are required reading material. Please read each document thoroughly as you have a continuing obligation and responsibility to be aware of and to comply with all District Board Policies and Administrative Regulations, which can be amended over time.

Step 3: I-9 Verification Prefill
The I-9 verification process is mandatory per the Department of Homeland Security to confirm the employment authorization and identity of individuals hired for employment in the United States.
CLICK HERE to pre-fill part 1 of Form I-9 online before you meet with Substitute Services. Our District's access code is 2363. Please utilize your full legal name.
After completing this online orientation component, you will schedule a time to meet with Substitute Services, at which time you must present verification documents. Documents must be original, unexpired
You can provide either one document from List A OR a combination of documents - one from List B and one from List C.

Step 4: Adobe Sign New Hire Packet
Complete the Adobe Sign Substitute Hire Packet electronically
You will receive an email from Adobe Sign on behalf of Substitute Services. Please open the email and click the link to complete this packet electronically.
You will receive a confirmation email once the packet has been successfully submitted.
After confirming receipt of the completed packet, please return to this webpage to continue with the remaining orientation requirements.

Step 5: Wet Signature Forms
After completing this online orientation component, you will schedule a meeting with Substitute Services (step 7). At this time, there will be some additional forms to complete. In preparation, please review the resources below.
W-4 - Employee's Withholding Certificate (2025)
Need assistance completing your W-4? Utilize the IRS Tax Withholding Estimator or consult with a Tax Professional.
IF YOU ARE CURRENTLY COLLECTING PERS
Retiree Reemployment Notification Non-PERS Eligible Position
To be re-hired as a sub, you must have received at least one PERS distribution before being hired as a substitute.
Some forms are optional. If you wish to submit these, they must be printed, physically signed, and brought to your in-person meeting.
Direct Deposit Enrollment (optional - if this form is completed, you also must bring a voided check or letter from your bank with your routing and account number)
Self-Reporting Form - Administrative Form HR-F617 (Required only if you have a charge, arrest, or conviction of a crime that was NOT already reported on your employment application)

Step 6: Schedule a Meeting with Sub Services
Make an appointment with the Sub office for your I9 and Orientation.

Walk-ins are not accepted.
You are only hired once all the paperwork is completed and you have met with the Sub Office.

Optional 1 - Begin your Classroom Management
Classroom Management Course - STEDI
All guest teachers are required to have a classroom management class within the first three months of your hire date. While waiting to complete your paperwork, you have the option to begin this class.
Your Classroom Management requirement will be completed through STEDI, an online course. When you have completed it, please send us a copy of the certificate, which will fulfill the requirement.
The online classes are available here: STEDI. The primary class (option A) is $39.99; If you do not complete it within this timeframe, you will be deactivated until you do.
Former WCSD teachers and current Student Interns may not be required to complete this course. Please reach out with any questions.

Additional Information and Resources
Once you have completed all New Employee Orientation requirements, you will be registered in the HR system and assigned an Employee ID number (E000*****). You will need your Employee ID number to access the Employee Online system.
