Academic Enrollment at Galena HS: Complete the yearly academic registration online in Infinite Campus:
- Log in to Infinite Campus at Campus Parent
- Select the [More] tab.
- Select [Start] on the 2024-2025 Existing Student Registration.
- Select [Begin Registration].
- Confirm or update your household, guardian, emergency contact, and student information.
Charter School Students: May participate in sports at Galena if residing in the school zone and the sport is not offered at the charter school. Request sports-only enrollment at Galena to: rosa.alvarez@washoeschools.net
Homeschool Students: May participate in sports at Galena if residing in the school zone. Submit an Intent to Homeschool form to: WCSD Extended Studies and request sports-only enrollment at Galena to: rosa.alvarez@washoeschools.net

ATHLETE REGISTRATION
REGISTER FOR SPORTS ON AKTIVATE
The Aktivate registration portal opens in May for participation in Nevada Interscholastic Activities Association (NIAA) sanctioned sports the following school year.
- To begin registration, go to www.aktivate.com/login/ Sign in or create a new account if you do not already have one.
- Click on Parent/Guardian Access.
- Click on Start/Complete Registrations, then New Registration +.
- Click on Select School and type: Galena
- Click Select Athlete and complete the athlete summary for your new athlete or select your returning athlete’s name.
- In Select Year/Sport, select all the sports for the fall, winter, and spring seasons the athlete intends to participate in.
- In Update Athlete Info, fill out the guardian information completely for both guardians, even if the information is the same. Guardian information in Aktivate will be compared to Infinite Campus. Fill out the athlete’s health insurance information. Athletes must have health insurance to participate in sports. The gap insurance is an Aktivate advertisement and is optional.

NIAA FORMS
NIAA TRYOUT CHECKLIST Parent and athlete must check the boxes, e-sign their name exactly as it appears, and click the E-SIGN button after reading the following policies:

- Concussion Policy
- Drug, Alcohol, and Tobacco Policy
HIGH SCHOOL CHECK (Academic Enrollment Information) The dropdown questions will change based on answers selected. Select “NO” responses until the statement describes your athlete’s situation.
- F-1 or J-1 Visa: Not common.
- Charter school: May participate in sports at Galena if residing in the school zone and the sport is not offered at the charter school. Request sports-only enrollment to: rosa.alvarez@washoeschools.net
- Homeschool: May participate in sports at Galena if residing in the school zone. Submit an Intent to Homeschool form to WCSD Extended Studies: www.washoeschools.net/Page/1157 and email rosa.alvarez@washoeschools.net to request sports-only enrollment at Galena HS.
- Freshman: Enrollment, guardianship, and residency information will be verified to establish eligibility for all freshmen student-athletes. Variance: Students attending 9th grade at Galena on a variance may only play sports at a sub-varsity level (Freshman or JV team) for the first year.
- Different Previous High School and Now at Galena: A hardship application section will appear to explain the decision to transfer schools. Variance: Students who are 12th graders and attending their first year at Galena on a variance may not participate in sports.
- Previously at Galena and Continuing at Galena: Select this option if the student-athlete’s enrollment was at Galena during the entire previous 12 months.
GUARDIANSHIP VERIFICATION
- The guardianship information for both parents must match in Aktivate and Infinite Campus. Call the school if you need to update Infinite Campus.
RESIDENCY VERIFICATION
- These are questions about your school zone.
- Residential Affidavits: This question does not apply to most students and is usually answered “NO.” If you believe this applies to your household, please contact the school registrar to confirm.
SCHOOL VERIFICATION
- Answer questions about the athlete’s previous school attendance and if they previously played high school sports.
TRANSFER FORM
- All incoming 9th grade students are transfer students.
- 10-12th grade students coming from another school are transfer students. Athletic eligibility of a 10-12th grader at a new school will be determined based on proof of hardship.
UPLOAD PROOF OF CURRENT ADDRESS.
Upload two documents to prove guardian residency at the address listed in Aktivate and Infinite Campus. Documents must be whole, complete pages and the bills must show the address twice. Some options are:
- Utility bill statement (electric, water, sewer) with page(s) showing both the service address and mailing address.
- Current Nevada Driver’s License or ID
- Current complete Mortgage Statement or Lease Agreement
UPLOAD COURT ORDER OF PHYSICAL CUSTODY
- If an athlete has two households, a complete court order of physical custody (redact irrelevant info) must be uploaded into Aktivate. Residency can only be established in one household. The athlete will be subject to NIAA transfer rules if they transfer to a school in the other guardian’s residence.
UPLOAD TRANSCRIPT
- A transcript is required to verify academic eligibility if student attends or attended a different school.
TRANSFER COMPLETE
- Confirm that all sections have a green checkmark before submitting the application.
- The forms will be verified by the athletic secretary and the application will be submitted to the NIAA for approval of eligibility.
- The application will be returned for corrections if any sections are incomplete or if they do not match the information from the Infinite Campus academic registration.
- Possible transfer status
- In Progress: Parent has started the transfer application but has not submitted it.
- Rejected by Administrator: Corrections are needed.
- Transfer Pending: Either the Athletic Secretary is verifying completeness of the transfer application for submission to the NIAA -or- the NIAA is reviewing the transfer application for a decision of eligibility/ineligibility.
- Complete: All answers and documents regarding school enrollment, residency, guardianship have been reviewed and approved. The transfer section is complete.

PHYSICAL DOCUMENTS
The sections in physical documents require verification of dates, GPA and grades, and payment. The sections will be verified by the athletic secretary within school calendar days in the order in which they were received.
- NIAA Physical Form – Sports physicals are valid for up to one year from the date of exam. However, the sports physical must be valid the entirety of the sports season. The Aktivate system will not allow completion of the requirement if the date of exam expires mid-season. If the current sports physical expires mid-season, please get a new sports physical prior to the beginning of the sports season.
- The Aktivate system will accept the NIAA Physical Form using the following dates for each sports season.
- 25-26 Fall Sports Season: Aug. 2 – Nov. 25, 2025
- 25-26 Winter Sports Season: Nov. 15, 2025 – Feb. 21, 2026
- 25-26 Spring Sports Season: Feb. 14 - May 16, 2026
- Use NIAA 4/3/2025 revision NIAA PPE Forms . Complete applicable pages 1-6 before your sports physical appointment. The doctor completes the last page named Medical Eligibility Form. Upload the “SUBMIT THIS FORM ONLY” page into Aktivate.
- Academic Eligibility – For the initial GPA/grade check, student-athletes must have a minimum unweighted GPA of 2.0 in at least two (2.0) units of credit and no more than one F grade during the previous high school semester/quarter.

- Galena HS students – no document upload is necessary. The athletic secretary will verify GPA and grades from Galena HS transcript.
- Student attending or having previously attended a different high school full time - please upload the transcript for verification of academic eligibility.
- For the upcoming school year, the following grading periods will be evaluated:
- 25-26 Fall Sports – 2025 spring semester GPA and grades
- Freshman: Incoming 9th graders are academically eligible for fall sports – no document upload is necessary.
- 25-26 Winter Sports – 2025 fall quarter progress report GPA and grades
- 25-26 Spring Sports – 2025 fall semester GPA and grades
Note: Student-athletes who make the team but do not meet the GPA/grade check requirement are ineligible to participate in games/meets until after the first “no F” grade check.
“No F” grade checks occur every three weeks during the season for continued eligibility of all student-athletes.
- WCSD Student Activities & Athletic Fees can be paid at the Galena bookkeeper’s office prior to the first game/meet. New this year: Payment will be accepted through Infinite Campus.
- Spirit pack fees are separate from the WCSD fees and vary by sport and team level. Contact the coach for information regarding the additional spirit pack fees.

Galena High School receives over 500 applications for athletic participation in the fall season and maintains over 1000 active athlete profiles for the entire school year. The applications are processed in the order they are received. Please email the athletic secretary if you need assistance with Aktivate registration.

GRADE REQUIREMENTS
Grade checks are based on the rules set forth in the NIAA Regulations for Academic Eligibility .
Traditional and Non-Traditional Status
The Academic Eligibility Update of 2021, created the possibility of eligibility for students who did not initially meet the minimum 2.0 GPA and no more than one F requirements. At the beginning of the sports season, student-athletes are assigned a traditional or non-traditional status.
- Traditional status is the GPA is a 2.0 or above and if there is no more than one F grade in the previous semester/quarter report card.
- Traditional status student-athletes are allowed a warning week at the “no Fs” grade check.
- Become ineligible to participate in sports if the F grade is not up to a passing grade after a week.
- Non-traditional status if the GPA is 1.99 or below or there if two or more F grades in the previous semester/quarter report card.
- Are initially ineligible to participate in sports until passing the first “no Fs” grade check of the sports season.
- Can be rostered if they are passing all classes at the first “no Fs” grade check.
- Will not be eligible to participate in sports this season if they have an F grade on the first “no Fs” grade check.
- Becomes eligible at the first “no Fs” grade check of the season, but may become ineligible for sports at the next “no Fs” grade check – there is no warning week.
- The traditional/non-traditional status resets when the semester/quarter progress report cards are available after the following dates:
- 10/21/2024
- 1/07/2025
- 3/31/2025

Following the NIAA regulations, the WCSD Athletics Department established the following “no Fs” grade check dates for the school year:
- 8/30/2024: T-Warning Week or NT-Ineligible
- 9/06/2024: T-Ineligible
- 9/20/2024: T-Warning Week or NT-Ineligible
- 9/27/2024: T-Ineligible
- 10/18/2024: T-Warning Week or NT-Ineligible
- 10/24/2024: T-Ineligible
- 11/01/2024: T-Warning Week or NT-Ineligible
